Description & Requirements
Job Duties:
· Responsible for consolidating inputs from functional teams and compiling a full budget plan, ensuring the flow for endorsement/review and getting approval from COO, reporting of actual budget spend against approved budget line items as well as variance analysis.
· Administer CLP Fixed Assets and update systems/records as required.
· Responsible for payment of various services for Group Operations, including: telephony, fuel cost billing, newspapers, multi-functional devices, etc.
· Act as Administrator for CLP Corporate Credit card (AMEX).
· Administer the Group Operations intranet portal and act as point-of-contact.
· Perform administrative support including leave administration, budget coordination, procure office and miscellaneous items, maintain stationery supply for the team, data verification and inputting into various internal company systems.
· Undertake clerical duties for Group Operations in full compliance with company polices such as issuing purchase orders and payment process in SAP for project management activities, travel coordination in compliance with CLP Travel Policy and International SOS requirement, and staff claims management with Financial Control.
· Assist senior management by coordinating local & overseas meetings and site visits events, functions and conferences when necessary. Coordinate team meetings and room reservations.
· Maintain Group Operations internal control practices such as expense tracking spreadsheet, fixed assets master record and group compliance reports.
· Provide full range of secretarial support and ac hoc duties as assigned.
Requirements:
· Minimum matriculated / DSE with pass in English & Chinese including English (Syllabus B)
· Recognised Diploma in Secretarial Studies, Business Studies or equivalent
· At least 6 years’ of relevant administrative experience
· Strong in administrative skills and organizing ability, able to work independently and under pressure
· Result-oriented, self-directed, and able to manage multiple tasks and deadlines on own schedule
· A pleasant, proactive and mature character with strong interpersonal and communication skills, able to develop and maintain good relationships with internal and/or external parties
· Proficient in the use of MS Office applications
· Proficient in both spoken and written English and Chinese (Cantonese and Putonghua) highly preferable
